Start Here

  • Add locations for offices, warehouses, vehicles, storage rooms, job sites, or employee kits.
  • Add items for inventory, tools, assets, consumables, supplies, parts, equipment, and serialized property.
  • Set reorder levels so low-stock items are easy to identify before work is delayed.
  • Use cloud folder references for receipts, manuals, warranty files, photos, or item documents once Cloud is connected.

Items And Locations

  • SKU: unique inventory code inside the subscriber account.
  • Quantity: current count on hand for that item.
  • Reorder Level: quantity at or below which the item should be restocked.
  • Location: where the item is primarily stored or assigned.
  • Supplier / Cost: purchasing information used for planning and vendor follow-up.

Stock Movement

  1. Choose the item that changed.
  2. Select the movement type: add, remove, transfer, adjustment, check-out, or check-in.
  3. Enter the quantity and location details.
  4. Add a reason, reference number, project code, or staff note.
  5. Save the movement so the item quantity and history remain accurate.

Asset Checks

  • Use asset checks for tools, equipment, vehicles, devices, kits, or serialized property.
  • Record condition, checked-by name, notes, and the next check date.
  • Use condition history to spot damaged, missing, overdue, or high-maintenance items.
  • Pair asset checks with Cloud files later for photos, receipts, manuals, or inspection documents.

Operating Controls

  • Review low-stock items before purchasing or dispatching crews.
  • Keep item names and SKUs consistent so staff can search quickly.
  • Use locations carefully when moving items between vehicles, job sites, and storage.
  • Do not delete inventory history after reconciliation; mark inactive or adjust with a note when possible.

Suite Integrations

  • Emailer can send low-stock, check-out, or overdue asset notices after integration.
  • PBX/SMS can send urgent inventory alerts once the SMS app is wired in.
  • Projects can create replenishment, inspection, or recovery tasks.
  • Vendors can support purchase planning and supplier records.
  • AIBiz Cloud can store item folders, receipts, manuals, photos, and service documents.

AIBiz Inventory stores inventory, location, movement, and asset-check records. It does not automatically purchase items, send alerts, or create cloud folders until the suite control panel connects those services.
